The Circle Craft Co-operative of British Columbia (“Circle Craft”) is committed to maintaining the security, confidentiality and privacy of personal information. This Policy documents our on-going commitment and has been developed in compliance with applicable privacy legislation.

 

Scope of Policy

This Policy applies to Circle Craft in respect of activities that are subject to federal and provincial privacy legislation.

This Policy addresses personal information about our customers, service providers and other individuals.  It does not apply to information collected, used or disclosed with respect to corporate or commercial entities.  This Policy does not apply to the collection, use or disclosure of the following information:

·                     business contact information; and

·                     publicly available information recognized under applicable privacy legislation.

 

What information do we collect?

We collect information from you when you register on the Circle Craft website (the “Site”), place an order, respond to a survey or communication such as e-mail, or participate in another Site feature.  When ordering or registering, we may ask you for your name, e-mail address, mailing address, phone number, credit card information or other information.  You may, however, visit our Site anonymously.

More specifically, we will collect some or all of the following information:

·                     your home address, home telephone number, and home e-mail address;

·                     information about products you purchase;

·                     credit card information; and

·                     username and password for your online account.

Like many websites, we use "cookies" to enhance your experience and gather information about visitors and visits to our websites.  Please refer to the "Do we use 'cookies'?" section below for further information.

 

Accountability

Circle Craft is accountable and responsible for personal information under its control.  We have designated a Privacy Officer to ensure compliance with this Policy (see below).

 

Purposes

When collecting personal information from you, we will explain the purpose of the collection and will answer your questions about the collection.

Most of your personal information will be collected directly from you via the data you enter when setting up your user account or completing on-line transactions.

We may collect, use and disclose your personal information for the following purposes:

·                     authenticating your identity;

·                     understanding customer needs;

·                     assessing your credit-worthiness (including through credit checks);

·                     providing e-mail discount coupons;

·                     processing orders and providing requested products;

·                     maintaining accurate customer records;

·                     processing and collecting payments and debts owed to us;

·                     communicating with customers and informing customers of products and services available from us;

·                     tracking use of the Site;

·                     protecting the Site from unauthorized access;

·                     establishing and maintaining communications with you relating to our products and services, and responding to inquiries and resolving complaints;

·                     protecting ourselves, you and others from fraud and error;

·                     identifying and resolving technical problems concerning the Site; and

·                     complying with legal requirements and acting pursuant to legal authorizations.

If we want to use your personal information for a new purpose, we will obtain your consent to do so unless the use is authorized or required by law.

 

How do we use your information?

We may use the information we collect from you in the following ways:

·                     To personalize your Site experience and to allow us to deliver the type of content and product offerings in which you are most interested.

·                     To allow us to better service you in responding to your customer service requests.

·                     To quickly process your transactions.

·                     To administer a contest, promotion, survey or other Site feature.

If you have opted-in to receive our e-mail newsletter, we may send you periodic e-mails.  If you would no longer like to receive promotional e-mail from us, please refer to the "How can you opt-out, remove or modify information you have provided to us?" section below.  If you have not opted-in to receive e-mail newsletters, you will not receive these e-mails.  Visitors who register or participate in other Site features will be given a choice whether they would like to be on our e-mail list and receive e-mail communications from us.

 

Consent

We will obtain your consent to collect, use or disclose personal information except where we are authorized or required by law to do so without consent.  Your consent can be express, implied or given through an authorized representative.  It can also be given verbally, in writing, electronically, through inaction or otherwise.  You may withdraw consent at any time (subject to legal, contractual and other restrictions) if you give us reasonable written notice.  After we have received such notice, we will inform you of the likely consequences of withdrawing consent, which may include our inability to provide certain services to you or to continue our relationship with you.

 

How do we protect visitor information?

We implement a variety of reasonable security measures to maintain the safety of your personal information to prevent unauthorized access, collection, use, disclosure, copying, modification, disposal or similar risks.  Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential.  When you place orders or access your personal information, we offer the use of a secure server.  All sensitive/credit information you supply is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our databases to be only accessed as stated above.

We will take reasonable steps, through contractual or other reasonable means, to ensure that a comparable level of personal information protection is implemented by the suppliers and others whom we ask to assist in providing services to you and us.

 

Do we use "cookies"?

Yes.  Cookies are small files that are transferred to your computer's hard drive through your Web browser (if you allow) that enables the Site to recognize your browser and capture and remember certain information.  For instance, we use cookies to help us remember and process the items in your shopping cart.  They are also used to help us understand your preferences based on previous or current Site activity, which enables us to provide you with improved services.  We also use cookies to help us compile aggregate data about Site traffic and Site interaction so that we can offer better Site experiences and tools in the future.

We may contract with third-party service providers to assist us in better understanding our Site visitors.  These service providers are not permitted to use the information collected on our behalf except to help us conduct and improve our business.

You can choose to have your computer warn you each time a cookie is being sent, or you can choose to turn off all cookies.  You do this through your browser (like FireFox or Internet Explorer) settings.  Each browser is a little different, so look at your browser Help menu to learn the correct way to modify your cookies.  If you turn cookies off, you may not have access to features that make your Site experience more efficient and some of our services will not function properly.  However, you can still place orders over the telephone by contacting customer service.

 

Do we disclose the information we collect to outside parties?

We do not sell, trade, or otherwise transfer to outside parties your personal information unless we provide you with advance notice, except as described below.  The term “outside parties” does not include website hosting partners and other parties who assist us in operating the Site, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.  We will only use and disclose your personal information for the purposes which are listed in this Policy or to which you have consented, unless otherwise authorized or required by law.

However, we may provide anonymous, non-personally identifiable visitor information to other parties for marketing, advertising, or other uses.

We will take reasonable care when destroying your personal information to prevent unauthorized access to the information.

 

How can you opt-out, remove or modify information you have provided to us?

You have the right to access your personal information held by us.

To modify your e-mail subscriptions and other account information, please let us know by modifying your preferences in the "My Account" section.  Please note that due to e-mail production schedules you may receive any e-mails already in production.

To delete all of your online account information from our database, sign into the "My Account" section of the Site and remove your shipping addresses, billing addresses & payment information.  Please note that we may maintain information about an individual sales transaction in order to service that transaction and for record keeping.

Upon written request and authentication of your identity, we will provide you with your other personal information under our control, if any, information abut the ways to which that information is being used, and a description of the individuals and organizations to whom such information has been disclosed.

In some situations, we may not be able to provide access to certain personal information.  This may be the case where, for example, disclosure would reveal personal information about another individual.

Where an access request is refused in whole or in part, we will notify you in writing, giving  the reason for refusal and outlining further steps which are available to you.

We will make a reasonable effort to ensure that personal information we are using or disclosing is accurate and complete.  In most cases, we will rely on you to ensure that certain information, such as your street address, e-mail address or telephone number, is current, complete and accurate.

If you demonstrate the inaccuracy or incompleteness of personal information, we will amend the information as required.  If appropriate, we will send the amended information to third parties to whom the information has been disclosed.

When a challenge regarding the accuracy of personal information is not resolved to your satisfaction, we will annotate the personal information under our control with a note that a correction was requested but not made.

 

Changes to our policy

If we decide to change our privacy policy, we will post those changes on this page.  Policy changes will apply only to information collected after the date of the change.
